HELP DESK TIP: Your mailbox is almost full (By Gold Canyon Computer Repair, LLC)

You may have recently received an Outlook reminder your Mailbox is almost full and is reaching the 2000+ MB capacity. So now what? Let’s look at a few practical and simple steps to increase space in your mailbox.

Grouping Emails

1. KEEP PILE
Creating GROUPS and SUB-FOLDERS within groups is a simple way to clean-up a bulky mail box (inbox, sent, draft folders). I suggest using a naming convention that you will remember and can easily relate to. For example, you might have a number of groups with sub-folders within each group as follows.
• Personal (GROUP FOLDER)
Sub-folders with-in group
o Family
o Friends
o Church
o Organizations

Professional (GROUP FOLDER)
Sub-folders with-in group
o Clients
o Partners
o Organizations

2. MAYBE  (GROUP FOLDER)
These are the e-mails you aren’t sure if you want to save or toss. I suggest you save all of these emails temporarily under one group folder and take your time reviewing to decide whether to keep, delete or save to file and redistribute to appropriate group and/or another source (USB Key, External Hard Drive, Online Source (box.net, dropbox) as time permits.

3. DELETE & EMPTY YOUR DELETED & SENT ITEMS FOLDER
You can choose to do this manually or set-up an automatic rule for deleted & sent items to be emptied automatically.
